Before building its platform, Zentap operated entirely through manual processes. As a marketing agency serving residential real estate agents, their services including social media management, branded video creation, local market insights, lead generation, and custom websites and more, required significant hands-on coordination.
While the service offering was strong, the operational model limited scalability.
The Challenge
The primary challenge was evolving from a manually operated marketing agency into a scalable product-based platform; while continuing to serve an active and growing customer base.
Zentap needed to:
- Automate internal workflows to improve efficiency
- Develop a structured customer-facing product
- Maintain service continuity during development
- Balance immediate customer complaints and requests with long-term platform strategy
The complexity lay in building for the future without disrupting the present.
Planning, Launch, Learning, and Stabilization
We began with an intensive discovery phase, holding structured product meetings two to three times per week. These sessions focused on defining user stories, gathering requirements, and shaping the product vision.
Working alongside a UI/UX designer, we developed initial mockups to visualize the future platform. From there, we built the first version of Zentap’s real estate marketing dashboard, a centralized space for agents to manage their marketing tools and assets. In parallel, we developed an internal management system to streamline customer handling and coordinate all product-related components efficiently.
After launch, we implemented incident monitoring and created a structured customer feedback loop to support maintenance and continuous improvement.
